About This Role

TaskForce seeks a talented and driven Executive Assistant to serve as an essential partner to the executive team. By managing everything from calendar and travel arrangements to internal communication and meeting management on behalf of their execs, this highly organized, endlessly resourceful person will ensure that nothing falls through the cracks. Because the role (and our company) is so dynamic, this person must possess strong business judgment and communication skills needed to interact with a variety of people and job functions.

Key Responsibilities

  • Manage calendars for 2 leaders and set up internal and external meetings by coordinating with key partners. Proactively look forward and manage conflicts and priorities so your leaders can achieve their goals
  • Help manage day-to-day of the office environment.
  • Coordinate weekly, monthly and offsite team meetings for teams. Also will have opportunity to lead meeting agenda and facilitate functional meetings.
  • Manage and complete monthly expense reporting for all leaders, creating process and system to ensure all expenses are collected and submitted on time
  • Manage and book travel plans (flights, hotels, rental cars, etc), thinking through all details to take the stress out of travel.

  • 2+ years of experience in operations in a fast-paced executive support function

Part-Time Graphic Designer

About This Role

TaskForce seeks a talented designer who will work on a wide-variety of forward-thinking creative projects and assets focused on arts and activism including event design, marketing collateral, merchandise and digital. The Graphic Designer will serve as a an integral part of the team and will have an eye for detail, a good sense of aesthetics and a strong feel for visual storytelling.

Digital Manager

About Create CA

Create CA is a statewide movement for arts equity in California. Our collective goal is to ensure that every student in California receives access to an arts education.

Create CA is not a new program or an ad campaign. Instead, it is focused on elevating the existing work of people and organizations—especially on the local level—through strategic communications and digital organizing. Through this coordinated and collective effort, we will build stronger public will for and investment in arts education for all K-12 students in California.

About This Role

Create CA seeks a creative, community-oriented digital manager who will manage the campaign’s channels and digital communities. This includes developing and implementing the social media strategy for all owned channels and working closely with the campaign team and partners.

  • Oversee all aspects of content distribution with the goal of driving engagement and growing our audiences across all relevant digital channels.
  • Maintain Create CA’s voice in copywriting across channels, while keeping in mind that each page has its differences in tone.
  • Identify and collaborate with artists, influencers and partners on campaigns that effectively leverage social media to meet the initiative’s broader goals.
  • Monitor and report on data and learnings, and make recommendations on future campaigns.
  • Develop and implement audience growth tactics and social media marketings, paying special attention to targeted communities and regions to meet broader campaign and impact goals. Leverage NationBuilder and social media analytics to develop and execute these tactics.
  • Work with creative team to develop engaging and inspiring visual content that can be distributed across social channels and digital communications.

About You

Your Experience

  • 3+ years experience running a social media account for a newsroom, digital outlet, or brand. Bonus if this entailed building an active and engaged community from the ground up.
  • Strong ability to manage, create, and assign editorial content.
  • Strong familiarity with social publishing tools, especially Facebook, Instagram, YouTube, and Twitter. Similarly, strong experience in CRM platforms like NationBuilder, and some experience in Squarespace.

Project Coordinator

Job Description and Qualifications:
TaskForce, a cause-focused creative agency, is seeking a meticulous & driven Project Coordinator. You are a natural multi-tasker, deeply organized, thorough, tech savvy, and excited to jump in to help wherever possible. You are comfortable wearing many hats, thrive in ambiguity, and are passionate about art and social justice.

Responsibilities include:

  • Monitor and maintain office equipment; inventory supplies and order replacement supplies as needed
  • Organize catering, coffee, or other refreshments as needed
  • Coordinate with travel arrangements for office staff and managers
  • Coordinate building and maintenance issues for general repair and updates
  • Plan and lead disaster and emergency procedures
  • Organize special functions and social events
  • Purchase computers, printers, supplies, and other equipment
  • Monitor incoming and outgoing mail; receive and sign for mail/packages from couriers and deliver to proper recipient
  • Prepare correspondence, documentation, or presentation materials
  • Manage office calendar: coordinate meetings with clients, partners, and internal team meetings, ensure team is aware of commitments, prepared with
  • agenda and context for meetings
  • Take notes on calls and at meetings, tracking deliverables and action items
  • Maintain to-do lists in Asana
  • Lead all office operations ie. filing paperwork, paying bills, shopping for supplies, maintaining physical office space
  • Track and organize receipts and expenditures
  • Maintain expense reports with accounting
  • Generate first drafts of meeting agendas, project reports and proposals, send out final drafts to participants pre-meeting
  • Gather information for wrap reports on each project
  • Coordinate and produce special projects
  • Provide project support to all staff as directed
  • Handle inventory of storage spaces and work to consolidate by moving office items
  • Assist with running social media brands
  • Run our online clothing store, fulfill orders and update platform with support from our tech team
  • Maintain an art archive
  • Asset Management (organize Dropbox and server files)

Qualifications:

  • Regular access to transportation
  • Strong interpersonal, organizational and time management skills
  • Extraordinary project management skills & attention to detail
  • In depth knowledge of computers & programs (Mac OS X Systems, iCloud Syncing, Dropbox, Google Drive, Excel, Word, Keynote etc)
  • Confirmed ability to self-manage & drive projects to completion
  • Ability to lead multiple projects & assignments
  • Ability to maintain a dynamic working environment
  • Knowledge of Asana, Salesforce or similar CRM platforms is a plus
